Members lapse quietly. Without automated expiry tracking and a list of who has stopped attending, the first signal is a revenue dip a month after the member decided to leave.

Freeze and pause rules cause more disputes than pricing
Whether a freeze extends the end date, whether there is an annual cap, and whether it was actually approved are the three questions no gym has a recorded answer to. The argument is settled at the desk by whoever is more insistent.

Attendance predicts churn better than anything else
A member who has not checked in for three weeks is about to lapse regardless of their expiry date. Most gyms do not capture attendance in a form they can act on, so retention effort is aimed at expiry dates instead.

Cash at the desk needs a daily close
Day passes, PT sessions and part payments are taken in cash across shifts. Without an end-of-shift reconciliation, variances are discovered at month end when nobody can explain them.

The internet will go down
When it does, members must still get through the turnstile. Cloud-only check-in that fails closed turns an outage into a queue at the door and a very bad afternoon.

Off-the-shelf gym software is cheap. Why build?
For a single location on standard monthly memberships, off-the-shelf is usually the right answer and we will tell you so. It stops being the right answer when your pricing model does not fit theirs, when you need integration with hardware they do not support, when per-member pricing gets expensive at scale, or when you are running several locations and need consolidated reporting they charge a premium for.
Will it work with our existing turnstile?
Usually — most access-control hardware exposes an SDK, a local HTTP interface, or a database we can read. The honest caveat is that a minority are closed systems where the only integration path is replacing the reader. We confirm your exact model during discovery and tell you before you commit, not after.
How long before we could go live?
Three to four weeks if your plan structure and freeze policy fit what is already built, which is common. Eight to twelve if the billing rules need real work or there is hardware integration involved. Data migration and staff training are the parts people underestimate, and both are scoped explicitly.
