Template-based extraction handles your top twenty vendors well and fails silently on everything else. A layout change on a known vendor is worse than a new one — the template still matches something, just the wrong region.

A policy stating that the reviewer cannot approve above a threshold is worth nothing at audit if the system permits it. It needs to be a rule the software applies.

How do we know the AI is not making numbers up?
Because you do not take the model's word for it. Output is constrained to a strict schema, every extracted value must be traceable to a specific region of the source document, and the arithmetic is validated by ordinary code that has no knowledge of what the model produced. Anything failing those checks goes to a reviewer rather than to your ledger. The live demo on our invoice extraction page shows all three running.
Can this satisfy our auditors?
That is the design goal rather than a side effect. Original documents are retained and hash-linked to every derived record, every field carries its complete value history with actor and timestamp, and approval chains are enforced by the system. What we cannot do is promise your specific auditor is satisfied — so we ask what they look for during discovery and build to that.
What volume makes this worth doing?
Roughly 500 documents a month is where the case starts to work, and it strengthens with vendor diversity — the more distinct layouts you handle, the worse manual entry and template OCR both perform. Below that, honestly, a person doing it carefully is often cheaper than the engineering.
